What Is Theoretical Inventory in a Restaurant?

Direct answer: Theoretical inventory is the quantity that should remain after applying known movements to a baseline. It is calculated, not observed: opening or counted stock plus restocks and corrections, minus recipe consumption and waste.

A simple example

A restaurant counts 10,000 g of beef. It receives 2,000 g, records 180 g used by each of ten burgers, and logs 200 g of waste. The theoretical balance is 10,000 + 2,000 − 1,800 − 200 = 10,000 g.

That number is internally consistent with recorded events. It does not prove the scale would read 10,000 g.

Why theoretical stock is useful

It gives restaurant operators a continuous view between physical counts, supports low-stock attention, and makes recipe assumptions testable. It can show where recorded consumption and observed stock begin to diverge.

The movement history matters as much as the balance. Without reasons and timestamps, a corrected total cannot explain what happened.

Why variance appears

Portion variation, prep yield, spills, spoilage, substitutions, staff meals, unrecorded deliveries, incorrect recipes, and unresolved orders can all create variance.

Variance is information. Investigate recurring differences rather than silently forcing the calculation to match.

How physical counts fit

A physical count is an authoritative observation for that ingredient at that time. It establishes a new baseline while preserving earlier activity for review.

After counting, new orders and physical movements should apply normally. Older consumption that belongs before the count must not be deducted again during late recovery.
